MVE HOA Meeting Minutes 12/08/19
Attendance: Trey Schroeder, Bob Hesseler, Tim Heifer, Jim Hoskins, Jim Eaton, Drew Gustafson, Rob Broomfield, Brad Boyle
The meeting started with a roll call, introductions and attendance sign in.
The prior minutes from the last meeting were reviewed.
Trey Schroeder, President presented an agenda, see attached.
Treasurers report — all taxes have been paid and the bank account balance as of 12/01/19 is $58,813. Post the settlement with Reed Fuller and South Lakes the following requirements of the settlement have been completed:
Fencing
Dock repair
Pond perimeter clean up
New Business:
1. Signage for the pond —Jim Hoskins said he would research types and language for the signs IE: no trespassing, HOA Members Only and material pricing
2. Security Lighting for the pond entrance stub street — it was discussed the need to have lighting installed to discourage late night activities. The board will research the cost and type of lighting to hopefully have installed by Spring 2020.
3. PO Box for the HOA —
4. Website for the HOA — Rob Broomfield and his son have designed a website — no cost — document storage capabilities — some documents have already been loaded
5. Walking path around the pond — we had a bid of approximately $36,000 from a company Larry Latener knows — it will need to be updated and presented again for final approval. The goal here is to encourage greater usage of the pond and make it safer for those who do use it especially with golf carts.
6. Association dues and late payments — the bylaws allow for penalties to be assessed for late payments of the dues. It was motioned and seconded — then agreed upon by the majority in attendance to the following:
A $50 penalty will be levied if the dues are over 10 days past due
If over 30 days an additional $50 penalty will be levied
If over 60 days $100 and a lien against the property will be filled —the $100 covers the cost of the lien
7. Meet and Greet for new Neighbors — the idea here is to establish a protocol to welcome a new homeowner. It was discussed using a welcome card and Jim Hoskins agreed to research different types and styles and pricing
8. HOA members party and Spring cleanup — dates to be announced
9. Voted on 2 HOA new members (Pam Gustafson & Jim Hoskins)

I am letting everyone know that we will be having the MVE HOA general meeting on December 8th 2019 at 5:00 PM at my house- 12401 W. 156 Street at 5:00 P.M. Please plan to attend as we have several important things that need to be voted on. It is important that your voice is heard, if you are not able to attend please contact me to get a Proxy form if you would like another MVE HOA member cast your vote for you.
We have had several new people move into our neighborhood in the last year plus and I am not sure that we have everyone’s email address, if your neighbor is one of the new families please let them know about the meeting in case we have not got them added to the email list.
Tim sent out an update email a short time ago and we will be going over those things and also electing new Board members to take office in 2020. Again, please make every effort to attend if possible. Because the walking trail around the pond is a large expense we feel that putting it to a general vote is the right thing to do so we need everyone’s vote.

(Because of the attrition of the Board last year, this year it is necessary to elect all five Board members. Two for one year term and three year terms. This will provide for future care over from year to year. The ballots will be differentiated by two and three year term for voting.)
